01Treasury & approvals
Every rupee has a paper trail.
Record money in and out with a voucher number and the receipt behind it. A claim goes from submission to approval to payment, and the person who approves it is never the one who pays it.
- The treasurer pays only claims that have been approved.
- Larger claims go to the advisor, above a limit the club sets.
- Corrections keep the original entry and add a reversal.

02Try it
Approve a claim. Then pay it.
Three claims are waiting at a school's Interact Club. Act as the president, the treasurer or the teacher-in-charge, and see who can approve each one and who pays it. Nobody approves their own claim, and anything over LKR 10,000 goes to the teacher.

04Budgets & projects
Money raised for it.
Money kept for it.
Give a project an approved budget and keep a sponsor's money set aside for it. A claim that would go over budget waits for an approved budget change.

Rotary Club of Lakeside Colombo also follows the Interact Club, as its sponsor.
The same structure works for a national body and its chapters.
05Organisation oversight
Separate books.
A shared picture.
Each club or chapter keeps its own records. A school, district or national body can follow the units it oversees, compare them, ask for a report and flag something that needs attention.
Roles keep the responsibilities clear: members submit, treasurers record, presidents and advisors approve. Overseers review without changing the books.
06Committee handover
New faces.
Nothing lost.
The next committee should inherit clear books. Settle claims, count the cash and sign the handover before the next term begins.
Closing balances, open projects and a draft budget carry forward. The year-end statement keeps the record of what the outgoing team leaves behind, and their access ends when the new term opens.
